Event Description and Key Objectives

The Opening Ceremony of the 2024 Youth Olympic Games in Czechia, hosted by the city of Budweis, fully designed and produced by Art4promotion, marked a groundbreaking milestone in the history of youth sporting events. It was the first time an Olympic youth ceremony took place outside of sports arenas, right on the banks of the Vltava River. This public and immersive concept brought Olympic spirit directly to thousands of spectators. Our vision was not only to deliver a spectacular live show but to tell a powerful story:" There are no big winners without small winners." The event symbolically connected Olympic metropoles-Paris and Budweis, the Seine and the Vltava, the Eiffel Tower and the Black Tower. With over 5k young athletes and more than 30k attendees, we knew that among them stood a future gold medallist. This event became a milestone, igniting ambition, unity, and national pride. It wasn’t just a ceremony. It was a defining national moment. It was a spark for future generations.

Key challenges

Bringing a technically complex and ambitious project to life on a riverside location demanded extraordinary logistics, safety protocols, and precision. A multimedia stage weighing over 100 tons with a monumental scene with more than 300m in width was built directly on the waterfront, including a 200m2+ LED wall length and a custom bridge for the athlete parade. The show featured an unforgettable highlight: a massive water wall symbolizing the Vltava River created in collaboration with over 200 volunteer firefighters and accompanied with lasers and orchestral music. We coordinated over 800 performers, 5000 athletes, and 200+ professionals, including the world-renowned acrobatic group Zurcaroh, golden buzzer winners of America’s GoT. All rehearsals, tech runs, and safety checks had to be completed within just 48 hours before showtime. Synchronizing pyrotechnics, flyboardists, holograms, acrobatics, and live symphonic performance before the show started left no room for error.

Creativity

Creativity of the ceremony was rooted in symbolism and the spirit of Olympic values. We wove together the four elements Fire,Water,Earth and Air into a narrative that unfolded through visuals and performance.Fire represented passion brought to life by pyrotechnics and the lighting of the Olympic torch via flyboard.Water was embodied by a monumental water wall and flyboard choreographies on the Vltava River.Earth was reflected in the powerful acrobatics performed on stage.Air was seen in the aerial acrobatics high above the crowd and formations of drones. All elements combined to create a poetic, emotionally resonant story of personal growth, resilience, and the athlete's journey. The futuristic circular stage design, dynamic light shows, and fusion of classical and electronic music enhanced the immersive experience.Bedřich Smetana’s “Vltava” underscored the national pride, while illuminated Olympic rings with acrobatics suspended 50 meters above the river became an unforgettable symbol.

Innovation

Everything was tailor-made:the show, performances, stage, costumes, music using the most advanced AV tech with real-time public involvement. The show integrated drone choreography, water projection mapping,200m2+ LED wall length, laser arrays, pyrotechnics and live orchestration to deliver a seamless multi-sensory experience. We engineered a bespoke structure:100-ton steel stage and special footbridge across the Vltava, allowing performer movement. One of the most innovative features was the creation of a monumental 150m+ wide water wall which was made with collaboration of over 200 firefighters.Infrastructure supported a complex network of synchronized cues across water, stage, aerial and broadcast media. For the first time in Czechia, such scale of technical integration was executed outdoors. The stage and effects were designed to operate in sync, both live and for media broadcast. The guerrilla marketing-a human formation of the Olympic rings achieved a national record and viral media coverage.

Execution

Executed with precision, the ceremony was a 360-degree project: concept, storytelling, choreography, technology, logistics, safety, and live direction. The technical setup spanned three weeks, including full AV integration, power infrastructure, stage design and custom rigging over water. Two parallel production zones, the main site on the Vltava and a secondary support base at the city exhibition centre, had to be run in unison. We managed full rehearsals, accommodation, and movement of thousands of athletes and performers. Every second of the show was timed to the frame, allowing seamless execution of over 800 live cues. Coordination spanned 150+ crew, talent, suppliers, safety experts, and government officials, with weekly client checkpoints, formal reviews, and risk-averse planning. On the day, we managed over 5k athletes, escort, crowd flow, artist timelines, media access and live streaming logistics. The ceremony began and ended on schedule to the minute, with zero disruptions.

Communication

The project combined multi-channel communication, including social media teasers, live content, influencer storytelling, and guerrilla campaigns. Our communication plan was deeply integrated with client objectives. We launched pre-event guerrilla marketing: live Olympic rings staging on the square created buzz and viral coverage. Strategic PR included social teasers, athlete interviews, and behind-the-scenes video, amplified by Facebook, Instagram, TikTok, and national TV. Press coverage spanned national TV, online platforms, and marketing industry media. Real-time media released during the ceremony secured prime news coverage; post-event editorial content celebrated the Grand Prix and multimedia spectacle. The ceremony was featured on Mediaguru, Marketing & Media, and in national press, reinforcing brand associations with innovation and youth empowerment. Coordination with the Czech Olympic Committee marketing further ensured alignment with national narratives.

Sustainable practices

Sustainability was embedded from conception to dismantling. We prioritized LED lighting and drone effects, minimizing carbon emissions. Water for projections was recirculated and responsibly returned to the Vltava with zero pollutants. For the first time in the Czech Republic, a monumental water wall of this scale was created with the help of over 200 volunteer regional firefighters, showcasing the potential for sustainable spectacle through collaboration. Infrastructure—rigging, fencing, and the footbridge—was reused or repurposed for future events. Catering relied on local, organic, and zero-waste suppliers, while event waste was fully segregated and recycled on-site. Transportation logistics prioritized public transit and shuttle buses to reduce CO₂ emissions. While no formal certification was issued, we consciously applied principles of low-impact event design across every phase of planning and delivery.
